This Privacy Policy describes how TL Store (“we”, “us”, or “our”) handles information accessed through the Robo Leo QuickBooks Integration (“the Integration”). The Integration is an internal, private tool that connects TL Store’s internal assistant, Robo Leo, to QuickBooks Online via the Intuit Developer Platform.

The Integration is not a public application. It is not available to third parties, customers, or the general public. It is used exclusively by TL Store’s internal systems and authorised personnel.

2. Read-Only Access

The Integration operates in a read-only capacity. It retrieves data from QuickBooks Online solely to support internal business analysis, reporting, reconciliation, and decision support. The Integration does not create, edit, delete, pay, invoice, or otherwise modify any data in QuickBooks Online or any connected Intuit service.

3. Data We Access

Through the connected QuickBooks Online account, the Integration may access the following categories of data, as permitted by the account authorisation:

Accounting and financial records
Transaction data
Customer and supplier information
Invoice and payment records
Expense data
Financial reports

Only data necessary for the internal purposes described in this policy is accessed.

4. How We Use the Data

Data accessed through the Integration is used exclusively for:

Internal business analysis and financial reporting
Reconciliation of accounts and transactions
Decision support for TL Store’s management and operations
Enabling Robo Leo to generate internal summaries and insights for authorised TL Store users

Data is not used for marketing, advertising, profiling, or any purpose beyond those listed above. Data is not sold, shared, or disclosed to third parties except as required by applicable law.

5. Credentials and Access Tokens

OAuth credentials, access tokens, refresh tokens, and any authentication material used to connect the Integration to QuickBooks Online are stored securely. These credentials are not displayed publicly and are used solely to authenticate read-only API requests on behalf of TL Store’s internal systems.

6. Data Security

We apply reasonable technical and organisational measures to protect data accessed through the Integration from unauthorised access, disclosure, alteration, or loss. Access to retrieved data is restricted to TL Store’s authorised internal users and systems only.

7. Data Retention

Data retrieved through the Integration is retained only for as long as necessary to fulfil the internal business purposes described in this policy, or as required by applicable law. When data is no longer needed, it is deleted or anonymised in accordance with our internal data governance practices.

8. Access and Disconnection

Internal access: Access to data retrieved by the Integration is limited to TL Store’s authorised personnel and internal systems.
Disconnection: The Integration can be disconnected from your QuickBooks Online account at any time through the QuickBooks Online connected-apps settings. Upon disconnection, the Integration will immediately cease to retrieve data from the connected QuickBooks account.

9. Third-Party Services

The Integration connects to QuickBooks Online, a service provided by Intuit Inc. QuickBooks and Intuit are independent third-party services. Their own terms of service and privacy policies govern your QuickBooks account and the data held within it. TL Store is not affiliated with, endorsed by, or acting as an agent of Intuit Inc.

10. Changes to This Privacy Policy
